Membership & Participation Agreement

Thank you for choosing RB Coaching Academy.
Our mission is to provide a safe, enjoyable and inspiring environment where every player can develop technically, physically, socially and personally through high-quality coaching.
This Membership & Participation Agreement explains the rights and responsibilities of both RB Coaching Ltd and our members. It has been written to ensure that every family understands how our Academy operates and to provide a fair, transparent and consistent experience for all participants.
By registering for any Academy activity, you confirm that you have read, understood and accepted this Agreement.

Throughout this Agreement, the terms “RB Coaching Academy”, “RB Coaching Ltd”, “we”, “our” and “us” all refer to RB Coaching Ltd.
2. Scope of this Agreement
This Agreement applies exclusively to Academy services delivered by RB Coaching Ltd.
These include:
Weekly Academy Coaching Programmes
Academy Holiday Camps
Academy Workshops
Academy Masterclasses
Goalkeeper Academy where applicable
Academy Events
Academy Player Development Programmes
Any activity advertised as being delivered by RB Coaching Ltd
3. Separate Companies
RB Coaching Ltd operates independently from RBITC Ltd.
Although both companies are owned and directed by Ryan Byrne, they are separate legal entities with independent finances, bookings, memberships, staff, activities and Terms and Conditions.
The following services are operated by RBITC Ltd and are not covered by this Agreement:
Community Holiday Camps
School PE Provision
Breakfast Clubs
After School Clubs
Tots Programmes
Skills & Development Centres
Community Coaching Sessions
School Partnerships
Football Festivals
Community Tournaments
Birthday Parties delivered under the RBITC Ltd brand
Any programme advertised as an RBITC Ltd activity
Bookings, memberships, account credits, refunds, discounts, catch-up sessions, cancellations and subscription payments remain entirely separate between the two companies.
Participation in activities operated by one company does not create any entitlement to services delivered by the other.
Any goodwill gesture made by either company shall not create a future entitlement or establish a precedent.
4. Definitions
For the purposes of this Agreement:
Academy means RB Coaching Academy operated by RB Coaching Ltd.
Activity means any coaching session, holiday camp, workshop, event, masterclass or programme delivered by RB Coaching Ltd.
Booking means a confirmed reservation made through our approved booking platform.
Child means the registered participant.
Parent or Guardian means the adult responsible for the booking and payment.
Membership means a recurring monthly Academy subscription.
Venue means any location used by RB Coaching Ltd to deliver Academy activities.
5. Our Commitment

Every coach employed or contracted by RB Coaching Ltd is expected to uphold our Academy values of:
Respect • Effort • Confidence • Learning • Teamwork
Our programmes are designed to support long-term player development rather than short-term results, and coaching decisions relating to player groupings, activities and development pathways remain at the discretion of our coaching team.
6. Parent and Player Commitment
By becoming a member of RB Coaching Academy, parents and players agree to:
Treat coaches, players, officials and other parents with respect at all times.
Support a positive learning environment.
Follow Academy policies and instructions.
Ensure players arrive appropriately dressed and equipped.
Keep contact and medical information up to date.
Communicate absences where possible.
Maintain a minimum attendance level of 75% of scheduled sessions each month, unless absence is due to illness, injury or another reason accepted by us.
Attend our quarterly parent workshops, or any rescheduled equivalent, to improve your knowledge of what we teach and to support your child’s development.
Remain pitch side and available throughout sessions to deal with toilet runs or any medical emergency, unless we have agreed alternative arrangements in writing.
Pay membership fees in accordance with this Agreement.
Working together in partnership helps us provide the best possible experience for every child.
7. Trial Procedure
Before a player is offered a place in the Academy, they may be invited to take part in a trial period.
Each trialist is entitled to a two-week free taster experience, ideally delivered on back-to-back weeks. Where necessary, we may allow the trial to take place within a three-week window to accommodate availability or scheduling issues.
A trial does not guarantee a place in the Academy. Places are offered at our discretion and are subject to the player’s attitude, coachability, technical ability, behaviour and suitability for the group.
To be considered for a place, players should demonstrate a willingness to learn, respond positively to coaching and have an existing core skill set appropriate to the level of the programme.
If a player does not meet our expectations during the trial period, we may offer alternative sessions within our community programme operated by RBITC Ltd, subject to availability and separate terms and conditions.
Participation in a trial does not create any entitlement to ongoing membership or to any specific programme.
8. Memberships and Subscriptions
Memberships are recurring monthly subscriptions.
By joining RB Coaching Academy, you agree to pay the monthly membership fee until the membership is cancelled in accordance with this Agreement.
Membership secures your child’s place within the Academy and is not dependent on attendance at every session.
Membership fees remain due whether or not your child attends a session.
There is a minimum membership term of three months.
This means that:
your child must remain a member for at least three consecutive months;
three months of payment must have been successfully collected before any cancellation can take effect; and
no cancellation will be accepted during the minimum term unless we agree otherwise in writing.
We expect each player to attend at least 75% of the sessions available to them each month. Where attendance falls below this level without prior agreement or a reasonable explanation, we may contact you to discuss support and may review the membership.
Missed sessions are not refundable and cannot be carried forward unless we agree otherwise in writing.
9. Annual Membership Options
Where offered and accepted by us, a yearly membership fee of £700 may be paid in a single lump sum to cover 12 months from October to September.
This annual package is:
paid in advance;
non-refundable;
fixed for the full term;
separate from monthly membership arrangements; and
not subject to monthly cancellation notice once the annual term has started.
This annual package is offered as a single lump-sum payment and is intended to cut out monthly VAT payment processing, subject to applicable tax rules.
Where two siblings are enrolled, and where offered and accepted by us, a combined annual fee of £1,000 may be paid in cash in a single lump sum to cover both players for the same October to September period.
This sibling annual package is:
cash only;
paid in one lump sum;
non-refundable;
non-transferable; and
not available by instalments or part-payments.
No refunds will be given for unused months, missed sessions or early withdrawal from the programme.
10. Payments
Payments are normally collected monthly in advance through our approved booking and payment system, including Stripe via Class4Kids or any successor platform we may use.
In some cases, and only where agreed by us in advance, we may accept cash payments.
Where cash is accepted:
the same Terms and Conditions still apply;
the parent or guardian remains fully responsible for the payment;
cash does not remove or reduce any notice period, minimum term or outstanding balance;
payment must still be made by the agreed date; and
failure to pay cash on time may result in suspension of the child’s place.
If a payment is due under this Agreement, it remains due regardless of the payment method used.
This includes, without limitation:
monthly membership fees;
minimum term payments;
notice period payments;
annual membership fees;
kit package payments;
outstanding balances;
late fees where applicable; and
any other sums properly due under this Agreement.
RB Coaching Ltd reserves the right to increase membership fees by giving no less than 24 hours’ notice.
Any increase will apply from the date stated in the notice and will not affect any annual membership already paid in full for the current term unless otherwise required by law.
11. Notice Period and Cancellation
If you wish to cancel your membership, notice must be given in writing by email to the contact address provided by RB Coaching Ltd.
Cancellation is only permitted once the minimum three-month membership term has been completed and three months of payment have been successfully collected.
If notice is received between the 1st and the 10th of the month after the minimum term has been completed, the current month’s payment will be the final payment due.
If notice is received after the 10th of the month after the minimum term has been completed, one further monthly payment will be due as the notice period.
This means that if a parent expresses an intention to leave after the 10th of the month, the next month’s payment remains due even if the child does not attend during that period.
The child may continue to attend sessions during the notice period unless the membership has been suspended for another reason under this Agreement.
If the child does not attend during the notice period month after payment has been made, that payment may be used as credit for a future month within the same RB season, provided it is used within that season and subject to availability.
If the child does not attend during the notice period, the payment is still due and no refund will be given.
Notice is only valid once it has been received by us in writing and acknowledged where appropriate.
12. Failed Payments, Reversals and Chargebacks
If a payment fails, our payment provider may attempt to collect the payment again.
If payment remains outstanding, we may contact you to arrange settlement and may suspend your child’s place until the account is brought up to date.
If a payment has been made in accordance with this Agreement and is later disputed, reversed, refunded or charged back through a bank, card provider or other payment institution, the original debt remains due.
This includes situations where:
a parent has agreed to the Terms and Conditions;
a payment has been taken after notice has been given;
the payment relates to a valid notice period;
the payment relates to a minimum term; or
the payment relates to any other sum properly due under this Agreement.
A chargeback or reversal does not cancel the underlying obligation to pay.
We reserve the right to:
provide evidence of the booking, membership and acceptance of these Terms to the payment provider;
re-present the payment where possible;
recover the outstanding balance through Stripe or another payment method;
add any chargeback fees, bank fees or administrative costs incurred by us; and
suspend or terminate membership until the account is settled.
13. Kit and Uniform
By accepting this Agreement, you agree to purchase the compulsory RB Coaching Academy kit package.
The kit package is compulsory for all members unless we agree otherwise in writing.
All children must wear RB Coaching Academy uniform to every session.
This means children should wear our Academy kit and not:
kit from another football club;
club badges from another club;
clothing branded by alternative coaching providers; or
any other non-Academy football uniform, unless specifically authorised by us.
Children attending a trial session may wear suitable sportswear of their choice.
If a child arrives without the required uniform or kit, we reserve the right to refuse participation until the correct clothing is worn.
14. Pausing Membership
Membership pauses are only available in exceptional circumstances.
We will only consider a pause where:
the child has a serious injury or illness and evidence is provided if requested; or
the child is undertaking an extensive trial with an official Category 1-4 professional academy and the trial directly affects their ability to attend RB Coaching Academy sessions.
Membership pauses will not be granted for holidays, family travel, school trips, social events or similar reasons.
If a pause is approved:
it is temporary only;
it does not cancel the membership;
it does not remove any outstanding payment obligations;
it does not stop any notice period that may already apply; and
membership will automatically resume at the end of the approved pause period.
If a parent wishes to leave during a pause, written cancellation notice must still be given in accordance with this Agreement.
A pause does not prevent the membership from resuming automatically once the approved pause period ends.
If the child returns from injury, illness or trial earlier than expected, or if the approved pause period ends, membership will restart immediately.
15. Venue Changes and Catch-Up Sessions
We understand that families may sometimes need to change venue, either temporarily or permanently.
If you wish to change venue permanently, please contact RB staff to let us know your intention to change venue.
If you wish to change venue temporarily, we can usually accommodate temporary changes. Please contact RB staff and we will do our best to help.
If your child misses a session at their usual venue, we are happy for them to attend a different venue to catch up on the missed session, subject to availability and suitability.
Where possible, please let us know in advance if you intend to attend a different venue so that we can make the necessary arrangements.
16. Weather Cancellations, Lockdowns and Programme Changes
In the event of bad weather or other conditions that affect the safe delivery of a session, we will always try to keep the programme running where possible.
If a session needs to be cancelled due to weather, we will first try to reschedule the class, particularly where there is a five-week month and an additional session can reasonably be arranged.
If rescheduling is not possible, we may offer a double session, meaning back-to-back hours, as an alternative way of making up the missed session.
If neither a rescheduled class nor a double session is possible, the final alternative will be to replace the session with an online Zoom class.
In the event of another lockdown, pandemic, government restriction or global catastrophe beyond our reasonable control, sessions will automatically move online for the affected period.
During any such period, the standard membership fee will be reduced by 25% from the normal rate.
Any alternative session offered will be communicated through our usual contact channels.
17. General Payment Responsibility
The parent or guardian who makes the booking remains responsible for all fees due under this Agreement, even if:
the child no longer wishes to attend;
the child is absent;
the child is on a pause;
the child has been removed from another club;
the parent has expressed an intention to leave; or
the payment has been disputed with a bank or card provider.
It is the responsibility of the parent or guardian to ensure that all payments are made on time and that any outstanding balance is cleared promptly.
18. Changes to This Agreement
We may update this Agreement from time to time to reflect changes in our services, payment systems, policies or legal obligations.
The most current version will apply from the date it is published or otherwise communicated to members.
Continued use of our services after any update will be treated as acceptance of the revised Agreement.
